Global Configuration – Check-In – Joomla 3.X
Quite often in a Joomla driven website there are multiple people who are responsible for website content. These are the article creators ( or other website content creators ). These individuals have permission access to and can add/edit/delete website content.
When one content creator accesses ( opens an article ) any website content for editing it, Joomla marks the article as Checked Out and locks the article. This prevents a second website content creator for opening the very same article and attempting to edit as well.
NOTE: If two people are editing the same website content then the person who saves their content changes last may overwrite all the changes made by the other. This can lead to a lot of re-work having to be done.
Almost all such editing occurs via the Internet. There are times when authors lose their Internet connection right in the middle of an editing session, OR if the author hits their Browser’s Back Button without saving their work OR any other reason. Then this web page content will continue to be marked as Checked Out and locked by Joomla.
NOTE: Only the original author who checked out the article can have Joomla Check In and unlock the article.
The System administrator is also empowered to Check In web content that is flagged as Checked Out and locked.
To do this login to Joomla as Admin. In the Admin User interface, Top Menu locate System. Click System. From the drop down menu that appears Click Global Check-in as shown in diagram 1.
On Click of Global Check-in its User interface is displayed in the Browser as shown in diagram 2.
In the top left hand side of the Global Check-In User interface there are three buttons available as shown in diagram 3. These are Check-in, Options and Help.
Checks-in selected items. Works with one or multiple items selected.
Opens the Options window where settings such as default parameters can be edited.
Opens a Help Screen for this specific page.
Check a specific check box to select one or more items. To select all items, check the check box in the column heading. After one or more boxes are checked, click a toolbar button to take an action on the selected item or items. Many toolbar actions, such as Publish ( Check in & unlock ) and Unpublish ( Check out and lock ), can work with multiple items.
Others, such as Edit, only work on one item at a time. If multiple items are checked and Edit is Clicked, the first item will be opened for editing.
The name of the table checked.
Items to check-in:
Items that need to be checked-in ( Unpublished and locked ).
NOTE: Do make sure that no author is busy editing any content before a Global Check-in is performed. When a Global Check-in is done, all items are checked in, including those currently being edited.
Purging The Joomla Cache
The Joomla cache can also be purged via the Global Check-in User interface. It is wise to purge the Joomla cache immediately when any article / web page content is edited. If this is not done there is the possibility that the newly edited content will not be visible until Joomla purges its cache after the normal cache time out occurs.
To have edited content show up immediately the Joomla cache has to be purged.
To purge the Joomla cache, Click Clear Cache, and / or Purge Expired Cache located on the left hand top corner of the Global Check-in User interface as shown in diagram 4.
When Clear Cache is chosen the Filter option, which is a drop down list box, permits the clearing of the Site cache or the Administrator cache as shown in diagram 5.
We recommend that both caches be cleaned, one at a time, to ensure that Joomla always delivers the freshest content to the site visitor or the site administrator.
Purge Expired Cache
When the Purge Expired Cache is clicked on Joomla displays the information as shown in diagram 6.
To physically purge Joomla’s expired cache one has to click Purge expired as shown in diagram 6.
Purging the expired cache can be a load on Web server resources especially if this maintenance work is being carried out after a very long time as there can be an extensive number of files in Joomla’s expired cache.
Clearing Joomla’s current cache or Purging Joomla’s expired cache can also be accessed directly by clicking System located in the Top Menu of the Joomla Admin User interface as shown in diagram 7.
The Clear / Purge behavior of either the current or expired cache is exactly the same as explained in the above material.
