Viewing a Presentation

Impress offers several ways to view a presentation. Each view has a particular purpose and advantage. Impress provides five working views called master views: Normal, Outline, Notes, Handout and Slide Sorter. A view can be accessed by clicking the corresponding tab above the Workspace of the Impress window as shown in Diagram 1.

Normal View:

  • Normal View is also known as Slide View.
  • It is the main working window in the presentation. Objects like graphics, charts, and so on can be inserted in a slide. An existing slides appearance can be edited. This is the default view.
  • To place a slide in the Slide Design area of the Normal view click on the slide thumbnail in the Slides pane.
  • It is the preferred view to create a slide in Impress. The slide area is largest in this view.
  • To display Normal view, select View > Normal View from the menu bar.

Outline View:

  • In OpenOffice Impress, outline view helps to develop and organize the structure and topic of a presentation.
  • Outline View shows the text of all slides listed in the form of an outline. Slide names are not included.
  • No graphics are shown in this view.
  • This view is useful for editing purposes. For quick editing of your OpenOffice Impress slides, you may choose to work only with their text.
  • Slides can be reordered by dragging and dropping their Thumbnails Up or Down in Slides pane on the left hand side. When you let go of your mouse button, the slide will be placed at the new location. Simultaneously the outline view on the right hand side reorders to map to the changes made in the Slides pane.
  • To display Outline view, select View > Outline View from the menu bar.

Notes View:

  • In Notes view, you can add notes (text) and graphics to any slide within a presentation. Each note includes an image of the associated slide. These notes are not displayed on the screen and can be printed out prior to the presentation for the speaker to use as reference.
  • Click the Notes tab in the Workspace
  • Select the slide to which you will add notes by clicking the slide in the Slide pane.
  • Notes may include ideas about the presentation, transition or speaker’s notes, which can be printed and used during presentation.
  • You can resize the notes text box using the green resizing handles and move it by placing the pointer on the border, then clicking and dragging. To make changes in the text style, press the F11 key to open the Styles and Formatting window.
  • To display Notes view, select View > Notes View from the menu bar.

Handout View:

  • The Handout view enables a number of consecutive slides to be printed on one page.
  • They are similar to slide sorter view, but are used for printing purposes only.
  • There is a choice of six predefined layouts for the handout. Click on Slide Layout in the Presentation Box or select Format > Slide Layout, pane opens as shown in Diagram 5 and then change the default layout.
  • To print a handout:
  • Select the slides using the Slide Sorter.
  • Select File > Print or press Control+P to open the Print dialog.
  • Select Options in the bottom left corner of the Print dialog.
  • Check Handouts in the Contents section, and then click OK.
  • Click OK to close the Print dialog.
  • To display Handout view, select View à Handout View from the menu bar.

Slide Sorter View:

  • The Slide sorter view gives a miniature picture of each slide.
  • This view can be used to select and drag slides from one position to another within the slide show. This rearranges the order in which the slides are presented. The name or the number of the slide appears near the bottom right corner of each slide.
  • You can work with slides in the Slide Sorter view just as you can in the Slide pane.
  • In this view, you can:
  • Change the number of slides per row, if desired through Slide view toolbar (View > Toolbars > Slide View).
  • Move a slide in a presentation
  • Make changes by right-click a slide and do the following, using the pop-up menu:
  • Add a new slide after the selected slide.
  • Delete or rename the selected slide.
  • Change the Slide Layout.
  • Change the Slide Transition.
  • Mark a slide as hidden. Hidden slides will not be shown in the slide show.
  • Copy or cut and paste a slide.
  • To display Slide view, select View > Workspace > Slide View
